The Digital Business Transformation Task Force (TDT) at the European Medicines Agency (EMA) is looking for a talented Project Officer to join the Digital Innovation Lab (DigiLab) and the Analytics Centre of Excellence (ACE) teams. As part of TDT’s mission to lead the EMA’s digitalisation strategy, we are looking for someone who can contribute to our mission to create a modern workplace that increases efficiency and makes better use of resources, skills, and competencies of everyone at the Agency. If you’re passionate about digital innovation and want to be part of a dynamic team that’s driving the EMA’s digitalization journey forward, then we want YOU!The ideal candidate loves working with people across all levels of the organisation and knows how to manage stakeholders well, is digital savvy (Teams, SharePoint, MIRO etc.), has excellent presentation and communication skills verbally and written, and has a pro-active attitude to work. As a project officer you will chair weekly meetings with the project managers, manage the oversight of projects in Microsoft Teams, chair sprint planning meetings and deliver presentations to senior managers on projects in meetings, emails and by recording videos.Furthermore, your Tasks will include:
- Manage DigiLab and ACE project oversight in Microsoft Teams and sprint plannings in ADO (Azure devops)
- Prepare communication materials to keep stakeholders aware of DigiLab’s and ACE’s activities, such as intranet news messages, HTML newsletters, messages in Microsoft Teams Channels, posters, short videos, MIRO boards.
- Keep the DigiLab and ACE microsites updated with the latest news and achievements of your team members.
- Support the day-to-day operations of DigiLab and ACE teams:
- Prepare agendas and chair meetings, take minutes and ensure that actions agreed are followed-up by team members. Your goal is to keep the projects/initiatives on track.
- Prepare projects kick off meetings and documentation
- Set up and manage Microsoft Teams Channels for new projects
- Manage ideas submitted to our DigiLab idea mailbox, help assess and prioritise good ideas and manage a pipeline of new digitalization projects and initiatives. Keep oversight, track and report on the innovation ideas backlog and pipeline.
- Support the project lead of digital innovation projects by assisting with the following tasks:
- Collect and analyze business requirements
- Map processes/workflows
- Co-create solutions with business end users

EMA’s mission is to protect public health by ensuring that all medicines available in the EU are safe, effective, and of high quality.What do we ask?
- A level of education which corresponds to completed university studies of at least three years attested by a diploma
- Professional experience relevant to the tasks described above
- You speak English on C2 level and are highly skilled in 2 or 3 other languages
- At least one year of experience in managing projects or supporting the work of project managers
- Experience in meeting preparation and management
- Experience in written communication activities targeted to internal stakeholders: emails, news items for the Intranet, Teams posts, etc
- Experience dealing with many stakeholders and managing their expectations
- Work experience with the Microsoft Office 365 suite
- Work experience in multicultural or international business environments
What do we offer?
- A fulltime, temporary job from May 2024 until the end of 2024; extension is possible but not guaranteed
- salary range:
- 45634,31 gross per month (less then 5 years of experience,
- 5164,29 gross per month (5 – 17 years of experience)
- 6611,15 gross per month (17 years of experience or more)
